Parts Coordinator
General Purpose of the Job:
Under the direction of the Parts Manager, the parts coordinator will process parts orders and provide pricing, inventory, order fulfillment, and customer inquiries. This person will create and develop on-going business relationships with customers via phone. This professional will also provide excellent customer service including phones sales and pricing, processing customer orders via phone, fax & email, expediting customer orders, follow-up on sales leads, crossing over product to increase product sales, and assist outside sales team with parts information. Strong attention to detail and coordinating skills vital as this position establishes quality assurance for the Capital Parts Department.
Essential Duties and Responsibilities:
- Serve as key contact for Company product and pricing information.
- Purchasing, customer orders and stock.
- Coordinate Service Contracts – enter data, billing and reporting.
- Coordinate transfers, returns, credits and receiving of capital parts.
- Facilitate entering, pulling and shipping orders – includes “piping”. Arrange truck shipments.
- Assist parts manager in handling of all JHF customer inquiries; supporting on-going communications and sales. Runs reports on as needed basis.
- Focus on increased “add-on” business with customer calls; increasing revenue per call/per customer.
- Knowledgeable on all Company products, parts and services including strong technical background on all capital part product offerings.
- Maintain LCO 40 inventory and restocking for service trucks.
- Good understanding of competition and offerings.
- Ability to successfully sell the JHF “value added” proposition and crossing over product on an as needed basis.
- Build and maintain excellent customer relations (internal and external).
- Ability to look for ways to improve and promote quality.
- Recognize customer concerns; addressing proactively.
- Maintain vendor/factory pricing updates when needed.
- Other duties as assigned by supervisor or management.
Qualifications, Skills and Education:
- Excellent communication and customer relations/service skills.
- Knowledge on capital equipment parts; computer experience with parts a plus.
- Mechanically oriented/technical background preferred.
- Ability to multi-task and work well under pressure or deadlines to meet customer expectations in fast-paced environment.
- Self starter, enthusiastic, high energy individual.
- Ability to demonstrate accuracy and thoroughness.
High School Education and/or 1-2 years experience in phone sales/order fulfillment.
